The Client Flow
Audit Framework.
A practical framework for understanding how enquiries become booked jobs — and where work often gets lost along the way.
Section 1
What is client flow?
Client flow is the path a potential customer follows from first enquiry to booked job.
For local service businesses, this often includes:
- Google Business Profile
- Word of mouth and referrals
- Phone calls
- Website enquiries
- Quote requests
- Follow-ups
- Booking confirmation
- Reviews and repeat business
When client flow is organised
Enquiries are more likely to become booked jobs. The business runs more predictably, with less chasing and fewer missed opportunities.
When client flow is broken
Opportunities quietly disappear. The business may not know exactly where or how many — it just feels harder than it should be.
For a full explanation of the concept, see What is client flow?
Section 2
The 7 stages of client flow
Discovery
Google Business Profile, referrals, word of mouth, repeat customers. The potential client becomes aware of the business.
First Contact
Phone, WhatsApp, email, website form. The first critical moment. Speed and clarity here determine whether the enquiry progresses.
Response
How quickly and clearly the business replies. A slow or unclear response is one of the most common reasons work is lost.
Quote
The quote is requested and delivered. Professionalism, speed and clarity at this stage directly affect conversion.
Follow-Up
The stage most often neglected. After a quote is sent, most businesses wait. Systematic follow-up wins more work without more marketing.
Booking
The enquiry becomes a confirmed job. A clear, professional confirmation process builds trust and reduces no-shows.
After the Job
Reviews, referrals and repeat business. This stage is often completely ignored — yet it is where long-term growth comes from.
Section 3
The 10 most common client flow leaks
These are the patterns we observe most frequently when reviewing how local service businesses handle enquiries, quotes and follow-ups.
Missed WhatsApp enquiries
Slow response times (more than a few hours)
Quotes sent but never followed up
No booking confirmation process
No review request process
No repeat customer process
Enquiries scattered across multiple channels with no central view
Unclear ownership of follow-up within the team
Poor diary management leading to double-bookings or gaps
No visibility of lost opportunities — the business does not know what it is missing
Section 4
Why this framework exists
This framework was developed after observing recurring patterns across local service businesses.
Different trades. Different owners. Different locations.
Yet many of the same client-flow problems appeared repeatedly.
The framework exists to make those problems visible.
Many business owners know how many jobs they completed. Far fewer know how many enquiries they lost.
The Client Flow Audit Framework gives those hidden leaks a structure, so they can be understood, prioritised and fixed.

Section 5
What we typically find
Many businesses know how many jobs they completed.
Few know how many enquiries they lost.
Most businesses have a way to generate enquiries.
Far fewer have a system to manage them.
Follow-up is often the weakest stage.
Yet it is also the stage where the most work can be recovered without any additional marketing spend.
Enquiries often arrive across multiple channels simultaneously.
Without a clear process, some fall through — not by choice, but by default.
Section 6
The Client Flow Score
We are developing a self-assessment tool that will allow businesses to score their client flow across all seven stages — from Discovery through to After the Job.
The score will highlight which stages are working, which are underperforming, and where the most significant opportunities for improvement are.

Section 8
Who it is for
The Client Flow Audit Framework applies to any owner-operated local service business that takes direct enquiries from customers. Our current focus is London, starting in West and North West London.
Section 9
What happens next?
Many local service businesses do not need more marketing.
They need a clearer system for handling the enquiries they already receive.
